Privacy Policy

The short version

• We keep the race and travel details you put into Race Season so the app can plan your season. That's what the app is for.
• We don't sell your data, show ads, or use advertising trackers.
• Payments are handled by Paddle. We never see or store your card details.
• When you paste a confirmation email, card numbers and email addresses are removed before the text is read, and the pasted text itself is never saved.
• You can delete any race at any time, or delete your whole account and everything in it.

What we collect

When you sign in

Your email address, and your name if you sign in with Google. We use these only to sign you in and to contact you about your account. If you sign in by email, we send you a one-time code.

What you put in the app

• The races you add, your division, wave times and race-day timing preferences.
• Travel details you choose to add: flights, hotels, rides, confirmation numbers and costs.
• Packing lists and notes.
• Settings such as your home airport, units, clock and currency.
• Optionally, your Instagram handle and a link to your results page.
• If you race doubles or relay, the names and contact details you enter for your partner or teammates. Please only add someone's details if they're happy for you to.

When you buy a paid plan

Paddle, our reseller and merchant of record, collects your payment details, billing email and country to take payment and handle tax. Paddle shares with us your Paddle customer and subscription IDs, your plan, and when it renews or ends, so we can turn your plan on and off. We never receive your card number.

Technical information

If the app hits an error, we receive an error report so we can fix it. It includes the type of device and browser and what went wrong, not the contents of your races.

Pasted confirmation emails

The paste feature lets you copy a booking email into the app instead of typing the details. Here's exactly what happens to that text:

• Before anything leaves your phone, card numbers (including masked ones like "ending in 4417"), security codes and email addresses are removed. The same check runs again on our server.
• The remaining text is sent to our AI provider to pick out the booking details, such as flight times, hotel name, dates and confirmation number.
• Only those booking details are saved to your race. The pasted text is not stored by us.
• Our AI provider processes the text only to return the booking details and doesn't use it to train its models. [Confirm against your AI provider's current commercial terms before publishing.]

Hotel suggestions work the same way: the race venue and city are sent to our AI provider to suggest nearby hotels. No personal details are included.

What we don't do

• We don't sell or rent your data to anyone.
• We don't show ads or use advertising or cross-site tracking.
• We don't book travel for you or take payments for travel.
• We can't see your races as other people. Each account's data is locked to that account at the database level.

Who else handles your data

We use a small number of trusted service providers to run Race Season. Each only gets the data it needs for its job:

• Hosting and database: store your account and race data and run the app. Your data is stored in the United States.
• Sign-in: Google, if you choose to sign in with it.
• Email delivery: sends your sign-in codes and account emails.
• Payments: Paddle, our reseller and merchant of record, takes payments and handles sales tax, VAT, receipts and refunds.
• Automation and internal tools: update your plan when a payment goes through, send your welcome email, and tell us when someone becomes a Founding Member.
• AI provider: reads pasted confirmations (with card numbers removed) and suggests hotels.
• Error monitoring: receives error reports.

Some of these providers are based outside your country, including in the United States. Sharing

Nothing is shared unless you choose to. When you use Share plan, you decide who receives the message and what app sends it. Confirmation numbers are left out of shared plans.

Storage on your phone

The app keeps a copy of your data on your device so it opens quickly and works with weak signal. It doesn't use cookies for advertising or tracking.

How long we keep your data

We keep your races and settings until you delete them or delete your account. When you delete your account, your data is removed from our database within 30 days, and from backups within 7 days. Paddle keeps payment records for as long as tax and accounting laws require.

Your choices and rights

• Edit or delete any race, list or setting in the app at any time.
• Delete your account from Settings, which deletes everything in it.
• Ask us for a copy of your data, or ask us to correct or delete it, by emailing hello@raceseason.app.
• If you live in the UK, the EU or another place with data protection laws, you have rights under those laws, including access, correction, deletion and portability, and you can complain to your local data protection authority.

Children

Race Season isn't intended for anyone under 16. We don't knowingly collect data from children.

Changes to this policy

If we change how we handle your data, we'll update this page and the date at the top, and tell you in the app before significant changes take effect.
